Response to RFP  ·  Website Services and Digital Strategy

One partner for your website
and your story.

WebMO proposes on both Scope A (website hosting, maintenance and technical support) and Scope B (digital media and social strategy) for Social Venture Partners Tucson, priced separately so SVP can award either scope or both.

November 2026 [CONFIRM SEND DATE]

We are bidding on both scopes.

Scope alignment: WebMO submits a combined proposal for Scope A and Scope B. Each scope is scoped, priced and staffed as its own block, so SVP may award them separately or together, as the RFP allows. Neither scope depends on the other.

Why one team for both scopes

One accountable partner

Site operations and social work side by side. One contact per scope.

Clean experience on all four CMS

We build, maintain and migrate on WordPress, Webflow, Squarespace and Drupal, so the platform fits SVP.

Reporting you can use

Plain-language monthly reports tied to partner, donor and community goals.

Nonprofit and mission-driven experience

We understand SVP's venture philanthropy model: financial investment paired with hands-on professional expertise, building the capacity of Southern Arizona nonprofits. We work the same way, bringing professional-grade tools and process to teams that cannot staff them in-house. Your digital presence is the front door to your model.

SVP Tucson connects passionate philanthropists with innovative nonprofits, pairing financial investment with professional expertise to strengthen capacity across Southern Arizona. The RFP describes your digital presence as the hub for stakeholder engagement, partner and member recruitment, community collaboration, event promotion and impact reporting. That is a lot of jobs for one website and a handful of social channels.

1  ·  The site has to be dependable and easy for staff to run

A small team needs a platform they can edit without a developer, with backups, security and updates handled quietly in the background. A site that only one person understands is a risk to the organization.

2  ·  The platform decision should serve SVP, not the vendor

The RFP names four CMS options: WordPress, Webflow, Squarespace and Drupal. We understand SVP intends to move from its current custom-built site to one of them [CONFIRM VIA VENDOR QUESTION 1 BEFORE SENDING]. We will recommend the option that fits your staff, budget and growth, and support whichever you choose.

3  ·  Social has to speak to three audiences at once

Donors, partners and community members each want something different from Fast Pitch, giving campaigns and partner stories. A calendar built around audiences, not just channels, keeps each message relevant.

4  ·  Results need to be visible to a volunteer board

Monthly reporting on engagement, audience growth and referral traffic should read in minutes and end in clear next steps.

Assumption

We have not seen SVP's current hosting, traffic or brand files. Where this proposal depends on them, we say so, and our questions to SVP are listed alongside the RFP Q&A.

Website hosting, maintenance and support.

Every Scope A bullet in the RFP is answered below, in the RFP's order.

Platform flexibility

PlatformSupport in placeMigration
WordPressManaged hosting, updates, backups, securityContent in or out, full theme rebuild if needed
DrupalManaged hosting, core and module updates, securityContent and structure mapped, then migrated
WebflowSupport inside Webflow hosting, layout and CMS editsContent export and rebuild to or from Webflow
SquarespaceSupport inside Squarespace hosting, styling and layoutContent export and rebuild to or from Squarespace

Webflow and Squarespace include their own hosting, so for those sites our hosting and DNS work covers domain, DNS and SSL settings rather than servers. Migration is quoted after a discovery review of content volume, integrations and redirects.

Hosting, Maintenance and Security Monthly
  • Hosting and infrastructure: secure, monitored hosting on our managed environment (or administration of SVP-owned accounts), plus DNS configuration, SSL renewal and domain management. SVP owns its registrar and hosting accounts from day one. [CONFIRM HOSTING ARCHITECTURE AND PROVIDER NAMES]
  • Routine maintenance: core, plugin and theme updates tested before release, [DAILY / WEEKLY: CONFIRM] backups with off-site copies, a restore test each quarter, and database optimization and cleanup.
  • Security and monitoring: uptime monitoring, malware scanning, spam protection, firewall rules, proactive vulnerability watch and emergency patching outside the normal cycle. [TOOL NAMES]
  • Technical support: bug fixes, content styling and layout adjustments and functional enhancements, requested by email or ticket and covered by the service levels on the next page.
  • Performance optimization: page speed work, mobile responsiveness checks and a quarterly technical search health audit with a written summary.
Migration path

If SVP is moving off a custom-built site, we begin with discovery: content inventory, integrations, URL redirect map and editor needs. We then recommend one of the four platforms and quote the migration as its own line item.

Service levels and 30-day onboarding.

The RFP asks for clear service level agreements separating critical from routine tickets. Targets below are proposed starting points and become part of the written agreement.

SeverityExamplesResponseTarget resolution
CriticalSite down, hacked, forms or donations broken[e.g. 1 hour, business hours][e.g. 4 hours]
HighMajor page or feature broken, urgent event update[e.g. 4 hours][e.g. 1 business day]
RoutineStyling, layout tweaks, content edits, small enhancements[e.g. 1 business day][e.g. 3-5 business days]

Support channel: [EMAIL / TICKET PORTAL / PHONE]. Support hours: [HOURS, MST]. Emergency security patches are applied outside the normal update cycle and reported to SVP afterward.

Onboarding Dec 1-30
  • Week 1, access audit: registrar, DNS, hosting, CMS, analytics and any integrations, with SVP confirmed as owner of each account.
  • Week 2, baselines: backup and restore test, security scan, speed and mobile baseline, uptime monitoring switched on.
  • Week 3, written SLA and runbook: severity definitions, contacts, escalation path and a short guide for SVP staff.
  • Week 4, first report: baseline findings and a 90-day improvement list, with migration discovery if SVP is changing platforms.

What SVP receives each month

Maintenance report

Updates applied, backups confirmed, security events, uptime and tickets against SLA.

Quarterly audit

Page speed, mobile checks and technical search health, with prioritized fixes.

One named contact

A single day-to-day person for Scope A, with a Kyle Wilson escalation path.

Why SVP owns the accounts

Registrar, hosting and analytics stay in SVP's name. That protects the organization if a vendor ever changes, and it keeps our liability and your lock-in risk low.

Digital media and social strategy.

We partner with SVP leadership to build and run an integrated strategy tied to your organizational goals. The five RFP expectations map to five workstreams.

1  ·  Multi-channel social calendar

A monthly calendar across LinkedIn, Instagram, Facebook and X/Twitter, organized by audience: donors, partners and community. LinkedIn leads for partners and donors, Facebook and Instagram for community and events. X/Twitter gets a lighter cadence unless audit data shows it earns more. [POSTING CADENCE PER CHANNEL]

2  ·  Digital campaign planning

Strategy and creative direction for seasonal giving campaigns, flagship events such as Fast Pitch, and partner spotlight stories. Each campaign gets a goal, audience, message arc, asset list and measurement plan before anything is posted.

3  ·  Brand-aligned copy and visuals

We start with SVP's brand guidelines, then write post copy in SVP's voice and curate or create visuals that match. Every post passes an approval window before publishing. [VISUALS: CURATED VS CUSTOM-DESIGNED SPLIT]

4  ·  Audience growth and local engagement

Organic tactics: partner and nonprofit cross-promotion, event-driven content, community replies and tagging, and Tucson-specific hashtags and groups. [COMMUNITY MANAGEMENT SCOPE: REPLIES / MODERATION HOURS]

5  ·  Monthly performance reporting

Engagement, audience growth and referral traffic (tracked in GA4), plus three or four optimization insights and a recommended change for next month.
